Should a specialty practice choose AI or a human answering service?

A human service may suit conversations that need a trained operator, and services differ in whether they book appointments or provide clinical triage. If no suitable slot is available or the request needs staff review, it records the next action instead of inventing availability. Ask to test pickup time and peak-hour capacity on your forwarded line.

Can a patient still speak to a real person?

Yes. During practice hours, a request for a person routes to the configured front-desk number. Outside those hours, a routine request becomes a callback task for your team. Urgent concerns follow the clinician-approved escalation protocol. Human availability depends on your staffing and forwarding setup; Callinzo does not supply a separate 24-hour clinical team.

What happens if the AI misunderstands a caller or cannot help?

The caller can ask for a person. Requests that cannot be completed within the approved workflow go to staff through a transfer or follow-up task, depending on whether the practice is open. The team can review the call outcome and collected context in the dashboard. Before launch, test unclear speech, corrections, unsupported requests, and an unavailable front desk so the fallback is clear to callers and staff.

Can we keep our number and use AI only for overflow or after-hours calls?

You can keep the practice's number and configure forwarding with your phone provider. Agree whether all calls, unanswered calls, or calls during closed hours should forward, and test how to return the line to staff. Overflow forwarding and your billing plan are separate choices: confirm the right plan for your hours. Calls handled during open hours on the nights-and-weekends plan still incur the same usage rate.

How can we avoid paging doctors for every routine after-hours request?

Write down which requests can become next-day tasks and which answers require an immediate page. Callinzo follows your approved screening and routing rules: routine refill or records requests go to staff, while urgent responses trigger escalation. The assistant collects and routes a refill request; it does not approve medication. Your clinicians define and review the protocol, including exceptions and fallback contacts.

What happens when a patient reports an urgent post-operative concern?

Callinzo uses the screening questions approved by your clinicians for that workflow and records the caller's answers. An urgent result alerts the on-call clinician with an expiring link to the summary. An emergency follows the configured emergency instructions and alerts the team in parallel. The assistant does not diagnose or promise a response time; assessment and treatment remain with the clinical team.

What happens if the on-call clinician does not acknowledge a page?

At the acknowledgement deadline configured by your practice, the escalation moves to the backup contact, then to the final practice contact if needed. If the contact sequence is exhausted, the system records that outcome and creates an urgent follow-up task. A delivered alert is not proof that a clinician has responded. Confirm every contact and test the full sequence before launch.

Can Callinzo book, reschedule, and cancel visits in our existing EHR?

That depends on the access and scheduling operations your EHR supports. Callinzo has a FHIR adapter; a named EHR on the integrations page is not a preconfigured connection for every practice. During onboarding, confirm permissions and test patient matching, availability, booking, changes, and cancellations against your system. Without a validated connection, bookings stay on Callinzo's dashboard schedule and your staff needs an agreed reconciliation process.

Can scheduling follow each provider's visit types, durations, and booking rules?

Yes. Configure providers, hours, visit types, appointment lengths, and scheduling rules for your practice. Specialty packs provide starting points, not automatic approval of every appointment. The booking workflow checks availability and rules before confirmation. Requests that cannot satisfy a rule need staff review; verify representative new-patient, follow-up, and procedure-related scenarios before forwarding live calls.

What HIPAA safeguards and agreements should we review before using an AI receptionist?

Review the Business Associate Agreement, which vendors process call audio and records, where data is stored, staff access, audit logs, recording policy, retention, deletion, and incident reporting.
